Covering Letters
The covering letter, or application letter, is an introduction to your CV and explains why you are sending it to an employer. Unless specified, letters should be word-processed using the same font as your CV and printed on the same colour paper (white or cream). The following are basic guidelines on the information you should include and an example of its layout.
First Paragraph
- identifies who you are
- states the job you are applying for
- where you saw it advertised
Middle Paragraph(s)
- give your reason(s) for applying for the position and also the employer.
- demonstrate here your understanding of what the job entails and your knowledge of what the company does.
- state why they would be interested in you, draw attention to your main selling points by referring to your CV. Do not repeat the whole of your CV here! You could mention aspects of your degree which are particularly relevant, relevant work experience/ employment skills which match the employer's requirements.
Last Paragraph
- repeat your interest and enthusiasm and summarise your suitability
- mention when you are available for interview
- end with 'I look forward to hearing from you'

Sample Letter: Advertised Vacancy
Many jobs are not advertised but it is worthwhile approaching employers speculatively. This works best when a particular industry sector is targeted, e.g. environment, PR, media etc. It helps to know as much as possible about your field of work and some research is required to produce a letter and CV that will provoke a positive response. Follow up your letter with a telephone call.
Key Points:
- Find companies or businesses using trade directories or professional bodies and advertisements etc.
- Establish a contact name to address your application to a named individual
- Make your letter topical and relevant, giving your reasons for writing to this particular employer at this particular time.
- Outline how you can contribute to the company and the benefits of employing you.
- State the position you are interested in and include your relevant skills and experience, highlighting achievements.
- Mention any enclosures, such as your CV and advise them that you will follow-up with a telephone call.
